Terms & Conditions
Please read these terms and conditions carefully as they contain important information about your Event registration.
These terms and conditions apply between the person, firm, company or other entity specified on your booking form (“you,” “your” or “Attendee”) and Questex (U.K.) Limited (“Questex”), which is the owner, organizer, operator and/or manager of the event/conference specified on your booking form (“Event”), for attendee / delegate registrations for the Event. By submitting your registration to attend the Event, you agree to be bound by these terms to the exclusion of all other terms. If you do not agree to be bound by these terms, then Questex will be unable to accept your registration and you will not be permitted to attend the Event.
Rules and Regulations
Attendee agrees to comply with all rules, regulations, and policies of the venue/facility where the Event is scheduled to be held, and of Questex, all as may be adopted from time to time and may be changed without notice.
Substitution & Cancellation Policy
Change or Postponement of the Event: Questex reserves the right to cancel, rename or relocate the Event or change the dates on which it is held. If Questex changes the name of the Event, relocates the Event to another event facility and/or city, or changes the dates for the Show to dates that are not more than 90 days prior or 180 days later than the dates on which the Event originally was scheduled to be held, Questex shall assign to Attendee, in lieu of the original registration, such other registration as Questex deems appropriate and Attendee agrees to accept such registration under the terms of this registration.
Force Majeure: If Questex cancels the Event due to a Force Majeure Event (as defined below) then Attendee shall receive a credit towards the same or similar event equal to the amount paid. For the purpose of this policy, “Force Majeure Event” means any event or circumstance arising that is beyond the reasonable control of Questex (including but not limited to governmental laws, ordinances, regulations, requisitions, restrictions, guidelines, recommendations or action, imposition of sanctions, embargo, military action, acts or threats of terrorism or war, mob, civil commotion or riot, health scares (including without limitation, epidemic and pandemic (e.g., COVID-19), whether or not new, ongoing or recurring), fire, acts of God, flood, drought, earthquake, severe weather, disaster, disruption to transportation, third party contractor/supplier failure, venue damage or cancellation, industrial dispute, strikes, labor disputes, interruption/failure of utility service, lack of commodities or supplies, accidents, nuclear, chemical or biological contamination, speaker or participant cancellation or withdrawal, or any other comparable calamity or casualty).
Cancellation of Event: If Questex elects to cancel the Event other than due to a Force Majeure Event, then Questex shall refund to Attendee its entire fee previously paid, in full satisfaction of all liabilities of Questex to Attendee. Attendee agrees that, except as expressly provided in this paragraph, it shall and hereby does waive any and all claims for damages or compensation resulting from or relating to the cancellation, postponement, renaming, relocation or rescheduling of the Event. Without limiting the generality of the foregoing, Questex may (at its sole discretion) change the format (including, without limitation, from a physical in-person Event to a virtual Event and vice versa), speakers, participants, content, venue location and program or any other aspect of the Event at any time and for any reason, whether or not due to a Force Majeure Event, in each case without liability.
Cancellation by Attendee: Except as may be otherwise expressly advised as part of the particular Event’s registration process, you may cancel your registration at any time. If your cancellation occurs at least 30 days prior to the original Event start date, then you will be entitled to receive a refund of your registration fees less a processing fee of €200.00 or the value of your registration, whichever is lower. Unfortunately, Questex cannot refund any fees for cancellations that occur less than 30 days prior to the original Event start date, or for failure to attend an Event. If a cancellation changes the entitlement to a multi-registration discount, the lowest value registration will be cancelled first. No cancellations are accepted once any part of a single or multi registration party has accessed the pre-Event networking or partnering facilities, applications or platforms. All cancellations must be sent by email to [email protected] marked for the attention of Customer Services and must be received by Questex. You acknowledge that the refund of your fees or portion thereof in accordance with this policy is your sole remedy in respect of any cancellation of your registration by you and all other liability is expressly excluded.
Substitute Registrations: Substitutions with employees from your organization are welcome at any time but in all other respects delegate / attendee registrations are issued for your personal use only and cannot be shared with any other person during the Event. You may not purchase registrations as agent for any third party, sell or otherwise transfer your registration to others, or exploit the registration commercially or non-commercially in any way. All substitutions must be submitted in writing and approved by Questex.
COVID-19 Warning
An inherent risk of exposure to COVID-19 exists in any place where people gather. COVID-19 is an extremely contagious disease that can lead to severe illness and death. You assume all risks, hazards, and dangers arising from or relating in any way to the risk of contracting a communicable disease or illness—including, without limitation, exposure to COVID-19 or any other bacteria, virus, or other pathogen capable of causing a communicable disease or illness, whether that exposure occurs before, during, or after the event, and regardless of how caused or contracted—and you hereby waive any and all claims and potential claims against Questex and any companies affiliated with Questex relating to such risks, hazards, and dangers. Photography and Recording at Events
All unauthorized photography and/or the recording or transmitting of audio or visual material, data or information is expressly prohibited. You consent to Questex undertaking multimedia recording of the Event which may include your participation in the Event as a delegate or attendee (the “Content”) and you consent to the use by Questex of any such recording anywhere in the world for promotional, marketing and other purposes. You acknowledge and agree that Questex is the exclusive owner of all rights in the Content and hereby waive any and all: (a) rights in and to such Content, and (b) claims that you may have relating to or arising from the Content or its use.
Minimum Age Requirement
All attendees must be at least 21 years of age to register and attend the Event. Registration of children/minors under the age of 21 for show badges is against Event policy. Under no circumstances will anyone under the age of 21 be admitted to the Event, even if accompanied by a parent. Valid identification is required at all times, will be checked and must match name on badge for admittance to all show and sponsored events.
Communications & Responsible Beverage Policy
Registration confirms a business relationship and authorizes Questex and its affiliates to contact all parties registering with this form via mail, phone, fax or e-mail. Registering for the Event constitutes consent to use your image in future promotional materials and media coverage. Event organizers reserve the right to change or cancel any portion of the Event without prior notice. The registrant agrees that all parties receiving a badge from this form will practice responsible consumption of alcohol. Anyone who over-consumes or appears to over-consume alcohol will be ejected from all Event activities without refund.
Attendee Dress Code
Required dress is professional/casual business attire. No clothing that may be interpreted as promiscuous, provocative or overly suggestive is allowed. Management reserves the right to deem any attire inappropriate and therefore not allow admission to any events affiliated with the show.
Indemnification
By accepting these terms and conditions, you agree to indemnify, defend, and hold Questex harmless from any and all claims, demands, suits, liabilities, damages, losses, costs and expenses (including without limitation reasonable attorneys’ fees) which result from or arise out of or in connection with any loss of or damage to any property or injury to or death of any person caused by, arising out of, relating to, or in connection with any act, omission, misconduct, negligence, gross negligence, willful misconduct, or violation of law by you during or in relation to the Event, or any breach of these terms and conditions.
Release
You acknowledge and agree that participation in any wellness, physical, recreational, or offsite activities associated with the Event involves inherent risks, including but not limited to personal injury, illness, disability, death, or property damage. By participating in any such activities, you voluntarily assume all such risks and accept full responsibility for any resulting loss, damage, claim, cost, or liability. Accordingly, you release, waive, covenant not to sue, and hold Questex harmless from and against any and all claims or liabilities arising from or relating to your participation in such activities.
You further represent and warrant that: (a) you participate in these activities entirely at your own risk, and Questex shall have no liability whatsoever for any injury, accident, or loss that may occur; (b) you have consulted a medical professional if you have any health concerns or are uncertain of your ability to participate; (c) you will comply with all safety rules, warning, and instructions issued by Questex, its representatives, or third-party providers.
Disclaimer Regarding Event Content, Entertainment, and Information
Speakers and Opinions: Any views or opinions expressed by speakers, panelists, or contributors at the Event are solely those of the individual and do not represent the views or positions of Questex. Questex expressly disclaims any responsibility or liability for any such views, advice, or statements.
Entertainment and Performances: Questex is not liable for the content, quality, or suitability of any entertainment, performance, or related programming provided during the Event. Questex undertakes reasonable due diligence to ensure appropriateness but does not guarantee that such content will meet all Attendees expectations or preferences.
Event Details and Changes: All Event details, schedules, and descriptions provided in Questex’s promotional or informational materials are accurate at the time of publication. Questex reserves the right, at its sole discretion and without liability, to make alterations, substitutions, or cancellations to the Event program, speakers, venue, or timing as circumstances require. Attendees are responsible for confirming the latest Event information directly with Questex prior to attendance. All seminars and Event activities are available on a first-come, first-served basis. Any workshops, tours, seminars, conference sessions or activities associated with the official event are subject to change and may require minimum registrations to operate. Should an activity be cancelled due to lack of minimum registration requirements, appropriate refunds will be made.
Privacy Policy
Questex respects your privacy and is committed to protecting your personal data in accordance with applicable data protection laws, including the UK Data Protection Action 2018, the General Data Protection Regulation (EU) 2016/679, and any successor or equivalent legislation. By registering for or attending the Event, you acknowledge and agree that: (a) Questex may collect, process, and store personal data you provide (such as name, contract details, company, and role) for purposes related to event administration, attendee management, security, and compliance; (b) your information may also be used to communicate information about Questex’s products, services, events, and those of its affiliates or carefully selected partners, consistent with Questex’s legitimate business interests and in compliance with applicable consent requirements; and (c) Questex may share your data with trusted third-party service providers engaged to support the operation or promotion of the Event, subject to appropriate data protection safeguards.
How and Why We Use Personal Information
There are a number of legal grounds under which the use of personal information under UK and EU data protection laws is justified and we are required to set out the grounds of such use in this Privacy Policy. An explanation of the scope of the principal grounds that justify our use is set out below:
- Consent: where you have consented to our use of your information
- Contract performance: where your information is necessary to enter into or perform our contract with you.
- Legal obligation: where we need to use your information to comply with our legal obligations.
- Legitimate interests: where we use your information to achieve a legitimate interest and our reasons for using it outweigh any prejudice to your data protection rights.
- Legal claims: where your information is necessary for us to defend, prosecute or make a claim against you, us or a third party.
International Transfer of Personal Information
Certain countries outside the European Economic Area (“EEA”) and UK have been approved by the European Commission as providing essentially equivalent protections to EEA and UK data protection laws and therefore no additional safeguards are required to export personal information to these jurisdictions. In countries which have not had these approvals, we will either ask for your consent to the transfer or transfer it subject to contractual terms that impose equivalent data protection obligations directly on the recipient (as approved by the relevant local authority), unless we are permitted under applicable data protection law to make such transfers without such formalities.
Your Rights
If you have any questions in relation to our use of your personal information, contact us at [email protected]. Under certain conditions, you may have the right to require us to:
- Provide you with further details on the use we make of your information.
- Provide you with a copy of information that you have provided to us.
- Update any inaccuracies in the personal information we hold.
- Delete any personal information that we no longer have a lawful ground to use.
- Where processing is based on consent, to withdraw your consent so that we stop that particular processing.
- Cease direct marketing to you.
- Where we undertake wholly automated decision making which results in the creation of a legal obligation or a similar significant impact, you may request that we provide information about the decision-making methodology and ask us to verify that the automated decision has been made correctly. We may reject the request, as permitted by applicable law, including when providing the information would result in a disclosure of a trade secret or would interfere with the prevention or detection of fraud or other crime. However, generally in these circumstances we will verify that the algorithm and source data are functioning as anticipated without error or bias or if required by law adjust the processing.
- Object to any processing based on the legitimate interests ground unless our reasons for undertaking that processing outweigh any prejudice to your data protection rights
- Restrict how we use your information whilst a complaint is being investigated
Your exercise of these rights is subject to certain exemptions to safeguard the public interest (e.g., the prevention or detection of crime) and our interests (e.g., the maintenance of legal privilege). If you exercise any of these rights, we will check your entitlement and respond in most cases within a month.
We hope to resolve any privacy concerns you may have. If you are not happy with our response, or you believe that your data protection or privacy rights have been infringed, you can complain to any supervisory authority or other public body with responsibility for enforcing privacy laws.
In the UK, the UK Information Commissioner’s Office regulates and enforces data protection law. Their procedures can be found at www.ico.org.uk.
In the Netherlands, the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) regulates and enforces data protection law. Their procedures can be found at www.autoriteitpersoonsgegevens.nl.
Other Policies
- Lost badges will be replaced onsite at fee.
- You are required to present appropriate required credentials, which may include but is not limited to a show badge for admittance to the Event.
- These terms and conditions shall be governed and construed in accordance with the laws of England and Wales and each Attendee irrevocably agrees to submit to the exclusive jurisdiction of the English courts.
- All charges will be processed as BLS*Questex Events on your statement.
Questex may (at its sole discretion) refuse access to, or eject / block from the Event, any person in its absolute discretion, including (without limitation) any person who fails to comply with these terms and conditions or who in the opinion of Questex represents a security risk, nuisance or annoyance to the running of the Event. You agree to comply with all reasonable instructions issued by Questex or the venue owners or operators at the Event.
